The American Association for the Advancement of Science seeks a full time Meetings Manager to join our Office of Meetings & Special Events!
Reporting to the Director of Meetings & Special Events, this position exists to cultivate relationships between AAAS and venues and vendors. The Meetings Manager is a professional meeting and event planner that cares and creates value for the client by putting in the time and energy to give the client a great experience.

What You’ll Do
Oversee and facilitate all aspects of in-person and virtual meeting planning from site selection, vendor negotiation, event registration, marketing, production schedules, onsite staffing and post-event reporting
Coordinates and executes logistics for various digital events—including small meetings, webinars, and conference platforms.
Manage vendors, AAAS staff, and/or volunteers as assigned
Act as a special project support for other AAAS Departments and assists with contract negotiation, site visit coordination, vendor selection for events and meeting needs
Other duties as assigned
Demonstrated contract negotiation skills
At least 5-7 years’ experience as an in-person meeting/event planner, of which at least 3 of those years as the logistical lead for conferences for over 1000 attendees.
At least 1 year experience managing logistics for virtual events
Certified event planner designation preferred
Effective interpersonal communication and customer service
Strong bias for action
Strong collaboration and problem-solving skills – able to pivot quickly due to changing or evolving requirements
Strong organizational and time management skills
Solid ability to build productive business relationships and skillful negotiation when contracting with vendors and venues
High level of professionalism and willingness to handle all planning and administrative details of meetings and events
