The Awards Programs Specialist works closely with and under the direction of the managers of ASH’s awards and diversity programs. The Specialist is responsible for the day-to-day award program support across the programs in the department including support for award program related meetings and study section and for managing the awards and diversity inboxes, study section reviewer database, mentor database and FAQ database. The Specialist is a key member of the Awards and Diversity Programs Department staff supporting the Society’s goals of recruiting and retaining individuals in hematology-related fields.
ESSENTIAL DUTIES AND RESPONSIBILITIES (Duties that occupy a major portion of time and importance in the job)
Responsible for day-to-day support of career development awards programs, which include the programs of the Minority Recruitment Initiative, the ASH Scholar, Bridge Grant, Global Research Award, RTAF, Phy-Sci, and HONORS awards.
Responsible for day-to-day support of the award programs throughout the program life cycle including application and review, notification and tracking, data entry, reporting and evaluation.
Serves as member facing staff person for questions from applicants, mentors, and interested members on the award programs.
Provides support for the online awards application system and review process.
Provides review of public facing program material to ensure accuracy.
Develops and maintains policies and procedures as well as completeness of data in organizational systems.
Provides administrative support for multiple study sections.
Assumes responsibility for administrative support of study section planning and day of activities.
Supports the Awards and Diversity Programs staff on cross departmental initiatives.
Building communities within and across departmental programs.
Strengthening mentorship within and across departmental programs.
Establishing ‘next step’ engagement opportunities for program alumni.
Establishing stronger personal relationships with awardees and alumni.
Fostering an environment of continued engagement with program alumni.
Provides program specific support for evaluation and reporting activities.
Occasionally attends and/or supports ASH-sponsored meetings and events outside of normal working hours (evenings and/or weekends).
Employees are required to be vaccinated and work in the office 3 days a week (Tuesdays, Wednesdays, Thursdays).
Bachelor’s degree required.
Minimum of three years of relevant work experience required.
Experience with awards, scholarship/fellowship, mentorship or grants programs preferred.
Knowledge of professional associations, especially medical societies strongly preferred.
Familiarity with issues related to groups underrepresented in medicine and minority participation in biomedical research desired.
Demonstrated alumni relations or similar experience desired.
Detail and customer service oriented with excellent organizational skills.
Able to do meticulous work carefully and accurately.
Strong interpersonal and oral/written communication skills.
Excellent analytical, technical and project management skills.
Proficiency in Microsoft Office, databases, and Internet.
