Essential Functions and Responsibilities

Provide administrative support for clinical research programs

• Plan the format of up to four expert panel meetings annually 
• Assist lead investigators of the expert panels with information about the expert panel process, obtain materials from panelists, and follow up for deliverables, including a proceedings paper and a subsequent application for funding 
• Maintain budgets and timelines for panels 
• Support SIR volunteer leadership and committees to plan clinical research and registry projects
• Assist committees with scheduling meetings and webinars, draft agendas, lead calls, and take minutes as needed 

Track and coordinate the SIR Foundation Grants and Awards Programs

• Demonstrate a thorough understanding of the SIR Foundation Grants and Awards Program
• Utilize electronic software to track and guide submissions through the grant review process
• Enforce application processes, oversee the review of applications for completeness/accuracy and provide guidance to applicants as needed 
• Serve as a knowledgeable and accurate resource to reviewers and grant applicants 
• Work with accounting to manage contracts, associated reports, and payments in the grant database, enforce deadlines and reporting requirements, and draft reports as needed 
• Keep the grant database updated and accurate
• Facilitate the negotiation of grant agreement changes and ensure timely grant contract execution
• Manage the logistics of the SIR Foundation Grant Review process during the SIR Annual Meeting
• Collaborate with internal staff and external organizations to support the development of potential grant opportunities
• Monitor and maintain the grant program budget 

Secondary Functions and Responsibilities

• Develop agendas and schedule calls with physician leadership to discuss clinical research and grants projects
• Prepare documents, slides, presentations, and other support for various leadership meetings
• Draft articles and advertisements for print and web communications regarding clinical research projects and grant opportunities
• Draft project budgets and maintain oversight of project budgets
• Coordinate and liaise with other organizations and individuals as needed to fulfill duties
• Some travel (approximately 5%) is required, one week of travel will be required to attend the annual meeting, and several local travel responsibilities will occur annually for expert panel meetings and board meetings 
• Support the Director of Clinical Research and Grants as needed
• Perform other duties as assigned

Knowledge, Skills, and Abilities

• Proficiency with MS Word, Excel and PowerPoint required 
• Excellent written and oral communication skills
• Superior organizational skills and strong attention to detail
• Ability to thrive within a team as a highly collaborative leader
• Ability to work well independently and proactively

Education: 

• Bachelor of Science degree required or equivalent experience 

Experience:

• Grants administration experience is highly desired
• Experience with grant tracking software is highly desired
• Experience managing program budgets is highly desired
