Overview
The Communications Specialist I supports the Communications department. This position is responsible for coordination of APIC’s weekly eNews newsletter and every-other-weekly Education Now newsletter, including developing and editing content, incorporating graphics, formatting, and distribution. Additional editing and writing responsibilities are also part of the job, including member announcements, fact sheets, support for the quarterly magazine, Prevention Strategist, and website copy for APIC’s consumer-facing website, “Infection Prevention and You.”
The ability to exercise good judgment in a variety of situations, along with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities is also needed. The Communications Specialist I must be able to work under pressure, at times, to handle a wide variety of activities.
This position supports the goals and mission of APIC.

This is a local or remote position. Local candidates are defined as a person having a legal residence in DC, MD, or VA and lives within 75 miles of our HQ in Arlington, VA. Local candidates will have telework options available up to five days per week. Remote candidates are defined as candidates are those that live outside the definition of a local candidate. Remote candidates work from home five days per week. All employees of APIC are expected to attend meetings in person as needed, be it at our HQ in Arlington or for travel.
Major Duties and Responsibilities
Newsletter Production and Support (50%)
Coordinates the production and dissemination of APIC’s weekly electronic newsletter, eNews,each Wednesday.
Maintains timely production and dissemination
Requests articles from staff
Maintains newsletter spreadsheet
Writes articles as needed; formats, adds graphics, and distributes on time every week.
Manages newsletter editing process by sending proofs the day before dissemination and incorporating all edits so that newsletter can be distributed each Wednesday afternoon.
Coordinates the production of APIC’s every-other-Monday newsletter, Education Now, in a similar manner as eNews.
Magazine and Journal Support (20%)
Updates APIC homepage every month as new issues of APIC’s professional journal, AJIC, are posted online.
Assists with production of quarterly magazine, including, setting up Prevention Strategist Panel meetings, taking minutes, photo gathering, reference formatting, and maintaining the article index.
Proofreads Prevention Strategist draft articles and printer proofs.
Handles administrative activities related to Prevention Strategist including coordinating thank you notes and complimentary copies to authors and contributors.
Communications Committee Support (10%)
Coordinates the development of Infection Prevention Updates (Consumer Alerts) with the Communications Committee. Maintains editorial calendar, sends reminders, edits content, secures approvals, posts to website, disseminates via email, and highlights in eNews.
Takes minutes for monthly Communications Committee meetings.
Infection Prevention and You/International Infection Prevention Week (IIPW) (10%)
Assists in writing and editing copy for Infection Prevention and You website and International Infection Prevention Week (IIPW) activities: toolkits, fact sheets, website descriptions, emails, and other copy needed for outreach campaign.
Formats and sends IIPW newsletters (approx. 6-8)
Miscellaneous (10%)
Produces and distributes emails each month in connection with new episodes of APIC’s two podcasts.
Assists with development of Annual Conference newspaper, APIC Daily News.
Assists with writing news releases on APIC initiatives, award recipients, etc.
Assists with coordination of other communications projects
Knowledge and Skills Required for this position:
Education/Experience:
High School Diploma with some years of college preferred with concentration in Communications, Journalism, or related studies.
1-2 years of editing and project management experience, preferably in an association or non-profit setting.
Experience creating graphics and working with newsletter software a plus, but not required.
Experience with web content management systems (WordPress) a plus, but not required.
Knowledge, Skills, and Abilities:
Excellent oral and written communication skills.
Exceptional organizational and project management skills, with the ability to perform and prioritize multiple demands and projects and meet deadlines with excellent attention to detail.
Good working knowledge and proficiency with Microsoft Office products (Outlook, PowerPoint, Word, Excel, Teams) to produce documents, spreadsheets, presentations, and reports.
Self-management: Ability to take the initiative and perform duties with minimal oversight.
Motivated to achieve: Demonstrates proactive approaches to problem-solving with strong decision-making capability.
Results oriented: Ability to prioritize and work at a fast pace and meet critical deadlines.
