Sigma currently has an opening for a Programs Specialist. This is full-time Monday-Friday position, primarily working day shift with an occasional need to work alternate hours to accommodate calls, meetings or events in other time zones. The Programs Specialist position is located in Indianapolis, IN and is predominantly a work from home telecommuting role, but will require some onsite duties at our office located in downtown Indianapolis, IN.

Job Summary: The Programs Specialist facilitates planning, coordination, process support, and implementation of meeting events while collaborating with internal and external key stakeholders.
Principal Responsibilities:
Receives and processes all research abstract submissions and initiates the selection and notification process for events and other assigned programs.
Serves as liaison to online submissions vendor. Oversees online abstract submission system for events and facilitate system revisions and updates.
Collaborates in planning high quality educational content for events and other assigned programs.
Organizes and coordinates logistics required for educational content and meets deadlines.
Troubleshoots issues and elevates situations, as appropriate.
Effectively communicates with leadership, interdepartmentally to internal and external staff, and event attendees, in a timely fashion.
Exhibits ability to use good judgment in taking initiative, while asking for direction or clarification and consulting others, as appropriate.
Contributes to departmental budget preparation and invoice fulfillment. Proposes creative solutions to be a good steward of the organization’s financial resources.
Works interdepartmentally to facilitate reviewer process (i.e. abstract or grant reviewers, etc.).
Requires the ability to work independently, be organized and accurately prioritize work. Must be detail-oriented, understand when urgency is required and anticipate needs of staff, customers, and event attendees.
Ability to work effectively with co-workers in a team oriented collaborative environment.
Ability to build and maintain positive relationships, both internally and externally, while maintaining a customer-centric mindset.
Bachelor’s degree desired, or combination of education and experience.
5-7 years’ progressive experience working in a non-profit organization, an association, or related experiences with volunteers, desired.
Excellent interpersonal, verbal and written communication skills, including the ability to communicate effectively in a virtual environment (e.g., via phone, web/videoconference)
Willingness to be flexible with international time zones and adjust to a changing work environment
Strong organization skills and attention to detail, required
Strong skills in the use of Microsoft Office Suite programs, specifically Word, Excel, PowerPoint and Outlook, required.
Ability to manage projects and deadlines with minimal supervision
