The Virginia Association of Independent Specialized Education Facilities (VAISEF) is seeking a full time Executive Director. This position will be the key management leader of the organization and will be responsible for overseeing VAISEF’s administration, programs and strategic plan. This position reports directly to the Board of Directors.
ABOUT VAISEF:
The Virginia Association of Independent Specialized Education Facilities is an association of Virginia private providers of specialized education and services for children and youth with special needs, and their families. VAISEF has over 80 member facilities around the Commonwealth. VAISEF’s mission is to enhance the capabilities of its members to provide quality specialized education and services by offering an accreditation process and by providing information, training, and networking opportunities; and to increase opportunities for members to provide services by advocating for a full continuum of services and by advocating for an increased role of the private sector, and by networking with state and local agencies.
Board Governance: Works with board in order to fulfill the organization’s mission.
Financial Performance and Viability: Manages resources sufficient to ensure the financial health of the organization.
Organization Operations. Oversees and implements appropriate resources to ensure that the operations of the organization are appropriate.
SPECIFIC POSITION RESPONSIBILITIES:
Board Support:
Housing and preservation of minutes, and preparation of agendas for all Board of Directors and committee meetings and provision of general advice and guidance to Board of Directors, officers and committees.
Coordination and implementation of Board strategic planning activities.
Serving as executive assistant/liaison to all officers, directors and committees, including specific responsibilities in areas of membership services, office services, meeting planning (including a fall and spring conference and up to two additional seminars), committee and board support, budgeting and finances.
Staying abreast of any issues or events which may affect the association in general and advise President and Board of Directors of same.
Maintaining contact with national affiliates and other state associations as directed by the Board or President.
Serving as VAISEF’s primary spokesperson to the organization’s constituents, the media and general public.
In conjunction with the Government Affairs Committee, effectively liaison with VAISEF’s state advocacy representatives.
Performance of other duties as assigned by the Board of Directors.
Administrative and Programmatic:
Assumption of responsibility for day-to-day administration, responding to correspondence and telephone requests in a timely manner and maintaining open office space, supervising and overseeing staff to fulfill these services.
Establishing employment and administrative policies and procedures for all functions and for the day-to-day operation of the organization.
Maintenance and retention of all membership and corporate records and files, processing membership renewals and fee collections, maintenance of membership database, mailing list and website, publication of membership newsletters, directory and mailing new member packets.
Management of all membership communications and notifications (currently using MailChimp and SurveyMonkey).
Under direction of and at the discretion of the Membership Services Committee, provide management and timely maintenance of VAISEF website (currently using WordPress) and other social media.
In coordination with the Membership Services Committee, plan and manage all conference and event planning (currently using Eventbrite), including hotel contracting. VAISEF currently has an annual conference in the Spring (April/May) and an annual membership meeting in the Fall (October).
Provide administrative and support services for the VAISEF Medication Administration Training for Youth (MATY) program, including website maintenance, master trainer contract management, trainer certification, and course material maintenance and distribution.
Financial Management:
Maintenance and reconciliation of all bank accounts, timely and accurate payments of all accounts payable and correct recording and collections of accounts receivable, with regular oversight from VAISEF Treasurer (currently using QuickBooks).
In coordination with the Ways and Means Committee, responsible for the aggressive and accountable financial management of the association through realistic and continuing budget formulation, monitoring and regular adjustments to meet changing conditions.
Invoicing members for annual dues, using membership formula established by the Board of Directors (currently using Zoho).
PREFERRED PROFESSIONAL QUALIFICATIONS:
The successful candidate will possess or demonstrate the following essential qualifications:
Five or more years senior management experience (non-profit experience a plus); Certified Association Executive (CAE) credentials preferred, but not required.
Strong organizational abilities including planning, delegating, program development and task facilitation.
Ability to convey VAISEF’s mission and strategic future to board, committees, membership and other stakeholders.
Strong written and oral communication skills.
Demonstrated ability to oversee and collaborate with staff.
Strong public speaking ability.
A working knowledge of Virginia’s legislative process and governmental structure (background in an educational setting is a plus, especially private special education).
