Summary:
The Meeting and Events Manager (MEM) is responsible for planning and organizing education programs, meetings and special events for the California Lawyers Association (CLA). The MEM coordinates all logistics and accommodations including but not limited to site selection, contract negotiation, food and beverage, transportation, and audio-visual equipment. The MEM assists with the development of educational programs, promotion development, facility planning and logistics, meeting registration and operation of the CLA Annual Meeting, CLA Solo Summit, multi-day Section and CLA educational meetings, and other events as assigned. The MEM will be responsible for overseeing the hotel site selection and contract negotiation process for all CLA meetings and events in conjunction with the chosen vendor. This position requires up to 25% travel. This position is located in Sacramento, California and it is optional to work remotely some of the time.
Duties and Responsibilities:
Works with volunteer leaders to coordinate virtual, in-person or hybrid options for each event
Works with volunteer leaders to coordinate the subject matter and develop the promotional content of all educational material and program information, and oversees the production and mailing of all materials
Assists with the hotel and/or facility selection and negotiation for services
including menu selections and audio-visual equipment
Plans and oversees the logistics and on-site event management
Develops budgets, schedules and information for all CLA multi-day mandatory continuing legal education (MCLE) programs and other meeting and events as required
Manages the logistics for all CLA meetings, including individual meeting space and meeting room set-up, assures audio-visual and sound equipment is available and in working condition, and orders proper signage
Coordinates the operations of registration, MCLE and Section enrollment including the centralized computer registration system and production of participant identification and ticketing
Organizes and oversees exhibitors, leasing space, coordination of contracts, accounts payable, and design of floor plans
Assists with the development and management of budgets, revenues and expenditures for all meetings
Performs other similar or related duties which may not be specifically included within this position description, but which are consistent with the general level of the job and the responsibilities described
Qualifications:
Bachelor’s degree or equivalent work experience in a field that develops skills relating to the functions and responsibilities of the position
Minimum of five (5) years of experience in meeting and event planning and minimum of two (2) years supervisory or project management experience
Experience working with volunteers is preferable
Strong creative, strategic, analytical, organizational and interpersonal skills
Experience overseeing the design and production of print materials and publications
Strong computer literacy in Microsoft Office and data base management
Strong oral and written communications skills
Manage multiple projects at a time
Communicate clearly and effectively in person and in writing
