AMERICAN POLITICAL SCIENCE ASSOCIATION (APSA) POSITION ANNOUNCEMENT
APSA is seeking candidates for the position of Assistant Director, Finance. S/he will oversee the maintenance and exercise of accounting principles, practices, and procedures to ensure accurate and timely financial statements. The Assistant Director is responsible for ensuring that work is properly allocated and completed in a timely and accurate manner. S/he collaborates closely with the Director of Finance and Administration on the planning and implementation of new programs, systems, and software to increase the efficiency and user-friendliness of APSA’s Finance and Administration. This employment opportunity is a Full-time exempt position.
ESSENTIAL RESPONSIBILITIES •Audit and Taxes: Oversees the preparation of documentation and reconciling schedules to ensure a clean and timely year-end audit; supports coordination with outside professional accounting firm to prepare all the association tax returns (i.e., 990, 990t, 5500, etc.) •Reporting: Prepares monthly and quarterly financial reports for review by Director of Finance and Administration, Executive Director, Council, and/or related governance committees. Assists the Director of Finance and Administration with preparation of quarterly and annual reporting on investment and capital asset reports, and ensures that reports are properly recorded, amortized, and disposed of as appropriate. •Payroll and Benefits Management: Implements and maintains optimal technologies with respect to payroll processing and leave accounting. Oversees all payroll functions to ensure that employees are paid in a timely and accurate manner. Prepares semi-monthly payroll submittal report to payroll service for staff and interns and serves as key point of contact with payroll service. •Organized section: Oversees relations with organized section volunteer leaders; including preparation of regular reporting, and payments by staff accountant. •Additional responsibilities: -Supervises accurate and timely monthly, quarterly and year end closings. -Completes the quarterly Bank Compliance activities. -Oversees accounts payable. -Oversees preparation of accurate and timely 1099 reporting. -Oversees accounts receivable to ensure accurate collection and processing. -Trains new and existing staff to keep skills and system supports up to industry standards. -Processes all transactions that comply with APSA system of internal controls and works with staff to resolve issues of noncompliance. -Leads on site Annual Meeting registration. -Assist in the preparation of reports for foundation and/or federal grants.
ESSENTIAL SKILLS & EXPERIENCE •Bachelor's degree in accounting or related field required. Master's degree preferred.
•Minimum of 5 years professional accounting experience. Professional accounting experience in a non-profit preferred.
•Thorough knowledge of internal control procedures, Generally Accepted Accounting Procedures(GAAP), financial management software systems and ability to utilize various software programs to analyze and maintain large amounts of data.
•Experience with fiscal sponsorship a plus.
•Ability to analyze and prepare financial reports.
•Demonstrated creativity, organizational skills, and ability to work independently and as a member of a team.
•High energy and initiative, positive, "can-do" attitude, flexibility, teamwork, and attention to detail. •Strong verbal communication skills and demonstrated ability to write clearly and persuasively. •Ability to clearly articulate APSA's mission, vision, and values. •Strong customer service and member service orientation. •Ability to meet deadlines. •Must be able to travel for business purposes (less than 10% of time). •Work with discretion and maintain confidentiality. •Good computer skills and knowledge of accounting software, database programs, and Microsoft Office. Knowledge of Sage INTACCT and/or JL/NOAH systems a plus.
