Reports to: Vice President for Operations, Development, and Member Resources
This position is responsible for managing the association’s membership engagement and customer service processes, financial functions, and general office operations. This position is a vital support to the association’s work, both internally through office processes and procedures and by working directly with member institutions.
Essential Duties and Responsibilities:
Systematically maintains and updates membership records in database management system.
Executes and oversees timely and accurate annual dues collection process from member schools including but not limited to: sending membership dues invoices through database management system, proactively monitoring payments, and following up on delinquent payments.
Develops operational policies/procedures related to the use of NOAH for membership management.
Attains proficiency in NOAH, generates reports and rosters via the database, and maintains the presidential breakdown spreadsheet to include tracking, reporting, and analyzing membership engagement activities.
Prepares, corresponds, and answers questions from member schools; provides information regarding membership benefits to existing or prospective members.
Assists with new member on-boarding and new president acknowledgements including drafting and coordinating mailings, phone calls, and emails.
Inputs data, oversees quality, and maintains membership records in the database.
Conducts research on possible new members to present to the President/Membership Committee of the Board of Directors and coordinates the sending of invitations to schools to apply for membership.
Staffs the Membership Committee of the ACCU board of directors and assists the Chair of the committee as needed; prepares reports on membership and dues collections for committee and staff as needed.
General Office Operations (30%)
Acts as office manager for day-to-day support of the association while sitting at front desk as the first point of contact for visitors and callers, especially our members.
Monitors, sorts and distributes USPS, FedEx, and UPS mail and packages.
Monitors the ACCU emails; responds and coordinates forwarding as appropriate.
Coordinates office supplies inventory and processes orders.
Assists the Vice President for External Affairs to fulfill publication orders.
Participates in the planning and execution of the Annual Meeting.
Assists with the financial functions for the association, including but not limited to: processing deposits, accounts receivable and accounts payable.
Works with outsourced accounting firm.
Education: Bachelor's degree required.
Experience: One to three years of directly related membership experience, preferably in an association or within higher education. Experience within a Catholic setting is helpful.
Knowledge, skills, and abilities:
Respect for the teachings of the Catholic Church.
Proficiency in Microsoft Office.
Proven ethical handling of all confidential interactions (financial, personnel, member data, etc).
Excellent oral and written communication skills.
Excellent interpersonal and organizational skills.
Outstanding attention to detail.
Ability to manage multiple projects simultaneously.
Outgoing and friendly personality able to warmly greet visitors and callers.
Ability to take initiative and complete work assigned.
